Lead the planning, execution, and delivery of the Asana PPM implementation project, ensuring quality delivery within the approved timeline and budget, from requirements definition through design, configuration, testing, rollout, and stabilization support.
Gather and document PMO requirements for the PPM tool, including intake processes, project/portfolio templates, workflows, resource management, reporting/dashboards, and governance structures.
Configure Asana (or oversee configuration by a vendor/implementation partner) to meet PMO requirements, including project and portfolio templates, custom fields, workflow automations, permissions/access structures, and reporting views.
Define and execute a data migration plan to move active projects, portfolios, and historical data from legacy tools/spreadsheets into Asana.
Design and execute an integration plan for connecting Asana with other business systems as needed (e.g., financial tracking, ticketing, or reporting tools).
Develop and execute a test plan (configuration testing, UAT) to validate the tool meets PMO requirements before go-live.
Develop and execute a rollout/go-live plan, including a cutover approach, communications, and hypercare support immediately following launch.
Develop and deliver training materials and onboarding sessions to drive PMO and stakeholder adoption of Asana.
Create and maintain a project plan/schedule for the implementation itself, communicating tasks, milestone dates, dependencies, critical path, status, and resource allocation.
Manage a RAID log for the implementation project on an ongoing basis, facilitating risk mitigation, issue resolution, and action planning.
Collaborate with PMO leadership, IT stakeholders, and end-users to ensure the configured tool aligns with how the PMO actually operates.
Work closely with the Asana vendor/implementation partner, internal developers, and IT teams to implement configurations, integrations, and any customizations.
Monitor and report project progress, risks, and adoption readiness to senior management and stakeholders throughout the engagement.
Develop and maintain a project budget and track financials at weekly and monthly intervals for the duration of the implementation.
Develop and execute a communications plan for the implementation, highlighting milestones and risks to stakeholders in a clear, positive manner.
Document a sustainable governance model and standard operating procedures for the PMO to maintain and administer Asana after project close-out.
Conduct a formal project closure and handoff, including a post-implementation review and transition of ongoing tool administration to the PMO.
Bachelor's degree in IT, Project Management, or a related field.
10+ years in IT project management, with direct, hands-on experience leading a PPM/work management tool implementation — Asana strongly preferred.
Demonstrated experience taking a PPM tool implementation from requirements through go-live and stabilization within a defined project timeline, ideally supporting an IT PMO specifically.
Experience with data migration planning and execution (moving project/portfolio data from legacy tools into a new platform).
Experience developing training and adoption materials and driving change management for a new tool or process.
Advanced problem-solving and decision-making skills: ability to analyze problems, identify solutions, and make sound decisions.
Ability to build consensus and manage stakeholders in a matrix organization, including PMO leadership and executive sponsors.
Budget oversight: prior experience managing project budgets and resource allocation for a defined project engagement.
Advanced written and oral communication skills, with proven ability to set expectations and build relationships across groups.
Strong familiarity with Agile, Scrum, and Waterfall methodologies as applied to a tool implementation project.
Strong proficiency in Asana (or a comparable PPM/work management tool) and Microsoft Office Suite (Excel, PowerPoint).
Experience defining adoption/success metrics for a tool rollout (e.g., user adoption rate, data migration completeness, PMO satisfaction).
